Patency.ai for practices

Your patients qualified. Then the paperwork happened.

Patency tracks every qualified patient from the exam room to the procedure, and tells your staff and your rep the moment someone stalls. No new system for your office to learn. The prescriber enters the patient once; the rest runs on reminders and handoffs.

Your device company sees the same system from the other side: their rep can see where your authorized patients are and help move them. That's the medtech door. Nothing a rep sees is anything you didn't grant.

The problem

Diagnosed isn't delivered.

You already did the work to earn these patients. The exam, the conversation, the decision. Then a quarter to a third of them never reach the table, and nothing clinical caused it. Imaging that never got scheduled. An authorization sitting in a queue. A cancellation nobody called back on. Each one is a procedure you earned and didn't do.

70–75%
Typical patency rate: qualified patients who reach their procedure

Patency rate is the number we measure and the number you'll know in your first week. Most practices have never seen theirs. The 25 to 30 percent gap is the whole product.

The diagnosis

It isn't one hole. It's a dozen small ones.

Every step between the decision and the procedure has its own way of losing a patient, and each one leaks quietly. Nobody fails at imaging. They fail between imaging and authorization.

Education

The patient leaves unsure

Medical language, a short visit, no reinforcement after. They go home and talk themselves out of it.

Imaging

Imaging never gets scheduled

Instructions weren't clear, the center never called, life got in the way. Weeks pass before anyone notices.

Imaging

Results sit unreviewed

The study came back. It's in the inbox. The case can't move until someone reads it, and nobody's tracking that.

Authorization

The note doesn't meet the policy

Payer criteria changed, or the note skipped a line the LCD looks for. The denial arrives three weeks later.

Authorization

Auth status is in someone's head

Submitted? Pending? Approved? The physician, the coordinator, and the rep each know part of it.

Scheduling

Approved, but no date

The approval came through. The scheduler didn't hear. Two weeks of a valid auth window gone.

Scheduling

The cancellation goes cold

Patient cancels. Reason not captured, no new date offered that day. The window closes.

Follow-up

Nobody checks in after

No pain scores, no survey, no referral. The outcome is never recorded, and the patient never becomes an advocate.

Visibility

Nobody can see the whole path

EMR, spreadsheet, the rep's phone, the coordinator's memory. Nobody holds the full picture, so nobody acts on it.

No single fix solves this. A dozen small leaks need a system, not another staff meeting.

Why it leaks

Right now, your coordinator's memory is the system.

Case completion depends on who remembers to call, who's in the office that day, and which rep happens to stop by.

What you get

Every qualified patient tracked until they complete, or you know why they didn't.

One

One shared record

Every qualified patient is entered once, at the point of prescription, and visible to your staff and your authorized rep from that moment forward.

Prescriber tool and pipeline board

Two

Automated follow-through

Education, imaging reminders, pre-op and post-op instructions, and pain-score check-ins run themselves. The system chases the patient so your staff doesn't have to.

Patient messaging and follow-up cadence

Three

A staff that stops chasing

Authorization status, payer requirements, and policy changes live in one place. Your coordinator checks a board, not a memory.

Checklist gate and policy watch

Four

Your patency rate, measured

Completion rate and stall points by step, in real time. The number you bring to the partner meeting, with the causes underneath it.

Drop-off scorecard and outcomes registry

The office impact

This amplifies your staff. It doesn't add to their day.

Nobody learns a new system. The prescriber enters the patient; everything after is a text, a reminder, or a flag on a board someone already looks at.

A scheduler's week today

  • Chasing imaging status by phone
  • Re-checking auth portals for each pending case
  • Finding out about a cancellation after the slot is gone
  • Rebuilding payer requirements from the last denial letter
  • Hoping the rep drops by to help

A scheduler's week on Patency

  • Opens the day to a list of cases that need her
  • Patients have already been reminded, twice if needed
  • Alerted when a case stalls, not after it dies
  • Checklist tells her what the payer wants before she submits
  • Rep shows up for a named reason

White-glove onboarding. We set it up with you, in your office, around how your staff already works. Nobody self-serves their way into a new process.

How you'd measure it

Three numbers you'll know in the first week.

Patency rate

Qualified patients who reach their procedure. The one we put our name on.

Days to procedure

From prescription to completed case, and where the days go.

Denials avoided

Cases that met the payer's requirements the first time.

Your baseline is set at enrollment and signed by you. Together we set a 90-day patency-rate goal. If it isn't met, we work with you one-on-one, at no added cost, until it is.

How it starts

Set up in weeks, not quarters.

Week 1

Baseline and setup

We capture your current numbers, configure the prescriber tool to your procedures and payers, and set up messaging under your practice's name.

Weeks 2–3

Go live with you

In-office training for the prescriber, the coordinator, and the scheduler. Your rep is authorized by you, on the patients you choose.

Day 90

Measure against the baseline

Patency rate, days to procedure, denials. What moved, by how much, and what's next.

Documentation and workflow assistance only. Patency never makes or suggests a clinical decision. HIPAA-compliant from day one with business associate agreements in place; patient messages carry the minimum necessary and link to secure pages.

On the Patency network?

If a rep invited you or you have a conference code, your practice qualifies for the network rate on a 12-month term, with setup waived.

$497/month, setup waived

The rate is the same for every practice in every network and never depends on which devices you use or how many. See the network page.

Every patient you qualify and lose, you paid for twice.

Once in the visit, and again in the procedure you never did. Find out how many that is.

Straight answers

What practices ask first.

Does my staff have to learn a new system?

No. The prescriber enters the patient once. The scheduler and coordinator see a board. Patients get texts. Onboarding is done with you in your office.

Does it replace our EHR?

No. Patency sits beside it and tracks the path between visits. Notes export to your EHR; deeper integration comes later if you want it.

What can the rep, or their company, see?

Your rep sees only the patients you authorize, at the stage they're at; access is yours to grant and revoke. Their company's regional and corporate views are de-identified: patency rates, stall points, and volumes, never names.

Who owns the data?

Your patient data stays in your practice's own partition under a BAA. De-identified pathway data joins the network registry, which is how the benchmark works. Nothing identified is ever pooled or shared.

Is this tied to a device company?

Patency works with the device companies whose reps serve you, but the software, the rate, and the membership are ours. No device company buys it for you or decides who gets it.

What if it doesn't move our number?

Then we keep working. Your 90-day goal is set with you at enrollment and it's guaranteed: if it isn't met, our team works with your office one-on-one, at no added cost, to find what's stalling and fix it until the goal is reached.
